When building a startup, “productivity” can sometimes feel like a scam, just like “work-life balance." Even after pulling all-nighters and drowning in to-do lists, you can still feel like things are not moving quickly. But as you know, productivity is not about who works the hardest, but how smart they work. Frankly, this isn’t the regular corporate jargon; it is the difference between going somewhere and actually getting there.

Whether we like to admit it or not, tools are a lifesaver, and they help you organize your life. It is often said that entrepreneurs wear many hats, or that is expected. So, in the startup journey, automation is key to streamlining operational processes to enable the key drivers to focus on other areas that grow the business. With so many of these tools on the market, how do you know which will save the day?

In this line of work, we have seen founders waste time and resources on tools that don’t serve them. We have curated some of them that solve real problems every day for startups and are still saving the day even in 2025;

Trello

Trello is like a digital board where you organize tasks as cards on a customizable board. Startups thrive on clarity and simplicity, and with Trello’s drag-and-drop interface, you can see everything at a glance, like the tasks, deadlines, and who is doing what. No more “What’s the next step?” meetings. You can use Trello for active project and program management to track progress for events, product launches, or marketing/ad campaigns.
For running weekly sprints, you can move tasks from “To-Do” to “In Review” to “Completed”.

Slack

Slack is a messaging app specifically built for teams. No more sending 50,000 emails per day, if you need a quick answer, just tag your teammate, if it’s feedback, drop a file in the channel. Channels help to keep your communication organized, and while in the chat, you can share files, jump on calls real quick, and/or integrate other tools like Software tools or Task scheduling tools. To make your workspace lively, you can set up multiple channels like #recognition, #jokes, and #games for team motivation.

Notion

Notion lets you build custom workspaces for notes, tasks, databases, and even your company’s information bank. Instead of toggling between 5 or more apps, Notion is that holistic tool that keeps everything in one place. We’ve seen startups use it for everything from meeting notes to investor pitch decks. On your team’s page, you can add roadmaps, task lists, and other resource pages. One cool integration is using the command “/AI” to autogenerate meeting summaries or brainstorm ideas.

Loom

With Loom, you can record quick video messages (screen and face cam) instead of typing long emails. Miscommunication is part of what kills productivity. When you sense a gap in clarity, simply adopt other means of communication, either voice or video and sometimes showing is more effective than telling. Know which to go for. A 2-minute Loom video explaining a task may be clearer than 10 back-and-forth emails. Even for the onboarding process for a new customer or talent, it may be appropriate to add a video rather than a 50-page manual.

Canva

Canva is another drag-and-drop tool for creating designs for social media, presentations, proposals, pitch decks, and whatnot. Paying a designer for every tiny edit is not scalable, with Canva’s templates, you can DIY without looking amateurish. You can create reusable templates for your marketing/ad campaigns, newsletters, reports, etc. Every day, the company releases features that make design easier, like the new “Brand Kit,” which enables you to save your brand colors, fonts, and logo for consistency.

Zapier

Zapier is a CRM (Customer Relationship Management) platform that connects your apps and automates your workflow. For instance, when someone fills out a Google Form, Zapier can add their email address to your company’s CRM. Founders and talents waste much time on manual tasks, whereas Zapier can handle it in the background. If you are looking to generate leads, all you need to do is create “Zaps” to auto-add emails from a source into a spreadsheet for you.

Clockify

Many startups underestimate the time it takes to complete a specific task. Tools like Clockify can help you spot these inefficiencies. Clockify is a time-tracking tool that allows you to log hours spent on tasks and projects and generate reports. To discover what drains your time and resources, track your time and automate tasks on your project dashboard on Clockify.

The truth is, these tools will not magically fix your broken workflow, but if used intentionally, they can free up your time and brainpower for the work that matters, like closing deals, product iteration, and taking a break. The goal is to be effective, not busy.

Now, in the comment, tell us which tool above you will be trying, and we will send you tailored tips on how to make the most out of it.
